How often is Method 9 recertification required?
Method 9 states that an observer must demonstrate the required proficiency every six months. That means an organization should plan for roughly two certification events per observer each year—not wait until the qualification has already expired.
Use the actual certification date
Track each observer’s individual date and the expiration calculated under the applicable program. Do not assume an entire facility renews on one date unless its records prove that.
Your Method 9 recertification checklist
Work backward from each observer’s expiration date. The goal is to keep enough currently qualified observers available at every facility and shift—not simply send reminders.

60 days before expirationChoose VR or in-person recertification for each observer. Book
the event or reserve an approved headset and testing time.
30 days before expirationConfirm the lecture requirement and official eligibility. If
using VR, assign the token and confirm the Meta Quest 2 or newer
headset is charged, controllers work, updates are complete, and
the test location has reliable internet.
Before the exact expiration dateMake sure the observer passes recertification and the new
certificate is on file. Escalate anyone still incomplete before
assigning Method 9 work.

A useful dashboard should do more than display a date. It should show who needs attention and what the responsible person can do next.
Why company-wide tracking matters
A facility may look covered until the only qualified observer on a shift expires—or leaves.

Can an observer recertify through VR?
An approved provider-specific VR system can offer an alternative certification path when its approval and the requirements applicable to the intended use are satisfied.
